How to change the account used to authorize share links or emails

Re-authorize your share link or email

Some Team Forms features β€” such as public share links, confidential responses, and automated email notificationsβ€” require authorization from a Microsoft 365 account. This authorization allows Team Forms to send emails or access SharePoint on behalf of that account.

Sometimes you may need to change which account is used. For example, if the original authorizing account is no longer active, you can switch to another one.

Step 1: Log in with the new account

Log in to Team Forms with the Microsoft 365 account you want to use for authorization. You can be signed in with multiple accounts at the same time β€” see Support for multiple accounts for details.

Step 2: Navigate to the feature and re-authorize

Once logged in with the correct account, go to the feature you want to update and re-authorize it.

For a public share link:

  1. Open the form and go to the Share dialog.

  2. Locate the link you want to re-authorize.

  3. Click the authentication icon (a green shield) next to the link.

  4. Select Re-Authorize.

This will switch the account used for authorization to the one you are currently logged in with.

Why authorization matters

Authorization is essential to keep features running smoothly. If the account that originally authorized a feature leaves the organization or its credentials change (for example, due to a password reset), the authorization token may expire. In these cases, you will need to re-authorize with a valid account to ensure:

  • Emails continue to be sent.

  • Share links remain accessible.

  • Confidential response features keep working.
