How to Share a Form with Everyone in Your Organization

Team Forms provides two main sharing options:

  • Team Members – limits access to members of the Microsoft Teams group (or groups you explicitly grant).

  • Anyone – makes the form accessible to anyone who has the link, including people outside your organization

If you want to share a form with all users inside your organization only, without requiring them to be added to the team, you can achieve this using the Team Members link.

Steps to Share a Form Organization-Wide

  1. Open the form builder for the form you want to share.

  2. Click the ”…” menu in the top right and select Permissions.

  3. In the permissions dialog, add the built-in group called “Everyone except external users.” This grants access to all internal users in your organization’s directory, while excluding external accounts.

  4. Save your changes.

Once this is done, the Team Members link will be usable by anyone in your organization, even if they are not part of the original team.
