How to block public forms within my organization

The Public Forms feature is excellent for sharing forms externally via unauthenticated links. However, as an IT department responsible for governing information that leaves your organization’s tenant, you may wish to disable this functionality. Team Forms provides your organization’s IT department with direct control over enabling or disabling features. To disable public sharing, you’ll first need to be an organizational administrator, and then you can follow the steps below.

  1. Go to the Azure portal

  2. Open the Enterpise applications resource and search for Team Forms Sharing. The Team Forms Sharing enterprise application is a seperate app made for the public forms feature.

  3. Under "Properties" enable the "Assignment required" property.

    This will prevent users from being able to use the public forms feature unless they are assigned to the Team Forms Sharing enterprise application by an administrator (see steps below). Now when users try to use the public sharing feature they will see the popul below.

Allow a specific user/group to use public sharing

After you have followed the steps above to "require assignment" you can grant specific users/groups to option to use public forms feature by following the steps below:

  1. Go to the Azure portal

  2. Open the Enterpise applications resource and search for Team Forms Sharing. The Team Forms Sharing enterprise application is a seperate app made for the public forms feature.

  3. Under the Users and groups setting click "+ Add user/group", follow the prompts to assign the user the Team Forms Sharing enterprise application which allows them to use this feature.
