Let's explore how you can get Team Forms data into an excel document

Data captured within Team Forms is automatically stored in a SharePoint list in JSON format. The easiest way to visualize this data in a grid view is using the submission screen. This screen will display each response as its own row in a table, with each question displayed as its own column allowing you to filer and sort and update your response data like a database.

However, it can sometimes be desirable to export this data excel for further analysis. Using the steps below:

  1. Hover over a form and click the "..." icon that appears

  2. Within the menu click "View Submissions" to launch the submission screen

  3. At the top of the table showing all your form responses locate and click the "Export to CSV" option. This will allow you to download a csv containing the responses.

Although it's possible to download the export we recommend using the submission screen in favour of the excel export for the following reasons:

  1. The submission screen is always live with the latest information whereas the export provides a snapshot of the data at the time of export

  2. From the submission screen, you can double click the row to show the record rendered in the form view. Due to the limited nature of excel cells you cannot visualise complex questions like repeating tables, signatures, attachments and much more.

  3. The submissions screen will allow you to edit records where the excel view is a read only and updates to the export will have no effect on the response record itself

  4. For data visualisation PowerBi is far more powerful and rich tool to use over excel.
