Managing Permissions

Team Forms gives team owners precise control over who can build or edit forms. Permissions can be managed at both the team level—affecting all forms—and at the individual form level for more granular control.

Permissions can be granted to individual users or groups, including SharePoint Groups and Microsoft Entra ID (formerly Azure AD) groups, making it easy to manage access at scale.

Customising Team-Level Permissions

Team-level permissions define who can build and respond to all forms within a team.

To update these settings:

  1. Open the Team Settings window.

  2. Navigate to the Permissions tab.

  3. Adjust the permissions as needed for users or groups.

Customising Form-Level Permissions

Form-level permissions allow you to control access on a per-form basis. For example, you might give certain users the ability to edit a specific form without giving them permission to create new forms in the team. To update form-level permissions:

  1. Open the Form Builder for the form you want to manage.

  2. Click the “…” icon in the top-right corner.

  3. Select Permissions.

In the permissions dialog, you’ll find two tabs:

  • Builder Permissions – Controls who can edit the form.

  • Form Permissions – Controls who can submit responses to the form.

These tabs let you separately manage access for building and responding.
